Booking for your customer: a channel partner’s apartment brief

Represent the traveller’s actual needs
A channel partner adds value by turning a vague accommodation request into a clear, usable brief. Ask the customer for dates, adults, children, required beds and the destinations they need to reach. INDIA SHORT STAY can discuss SAGAR NIWAS categories in Bommasandra and Sarjapur, but a partner should not promise a room, amenity or price that the property has not confirmed. Identify yourself as the booking contact and explain who will travel. Keep the customer involved in essential decisions, especially when an alternative locality or category changes the experience they originally requested.
Share information with the right permission
Collect only the details required to organise the accommodation and use authorised channels for identification documents. Do not add a traveller to broad sales groups or circulate private records simply because you are coordinating the booking. Agree which email or phone contact receives confirmations and which person can request amendments. If the customer is a company, identify its approver and billing entity separately from individual employees. A partner relationship does not automatically authorise access to every guest’s information or to unrelated bookings. Clear roles make follow-up easier and help the property respond to the appropriate person.
Separate the customer offer from partner terms
Ask for the confirmed accommodation scope, taxes, inclusions and cancellation conditions before presenting the final offer. Any approved commission, margin or settlement arrangement belongs in the relevant partner agreement, not in an improvised promise to the traveller. Do not assume that registration provides a preferential rate or credit facility. Where the customer pays one party and the property is paid separately, clarify the responsible seller, payment instructions and confirmation process in writing. The traveller should be able to understand who supplies the stay and how to obtain help without needing to interpret an internal commercial arrangement.
Track changes through one booking reference
After confirmation, keep guest substitutions, date amendments and additional services connected to the original reference. Relay the property’s response accurately rather than describing a pending request as accepted. Offline payments remain subject to realization and verification, and refunds follow the agreed terms and review process. At departure, reconcile the actual stay, authorised additions and relevant settlement records through the approved partner workflow. Send INDIA SHORT STAY a complete customer brief with your contact role and commercial questions clearly separated. This lets the accommodation team answer the traveller’s needs while the partner manages its own authorised sales and settlement responsibilities in a transparent way.
If the customer asks for several alternatives, label them clearly and confirm which one is selected. Do not leave multiple provisional offers circulating as though each is an active reservation for the same traveller.
